Visa Information

Most of our international journeys need a visa, and the paperwork is the part travellers dread. We do as much of it as we are allowed to do for you. This page explains where our work ends and the embassy's begins, so there are no surprises three weeks before departure.

   The one thing to know first

   A visa is granted by the government of the country you are visiting. It is never granted by us, and no travel agent, however well connected, can guarantee one. Anyone who tells you otherwise is selling you something.

   This matters for your money as well as your plans: if a visa is refused, the tour's cancellation terms still apply, and airline tickets are often non-refundable. Do not book non-refundable travel around a visa you do not yet hold.

   What we do for you

   We tell you which visa your journey needs and exactly which documents to prepare, in a checklist written for your specific itinerary rather than a generic list.

   We complete and submit the application, book appointment slots where the mission requires them, and prepare the supporting documents that come from us — confirmed itinerary, hotel bookings, and the covering letters embassies ask for.

   We track the application and keep you updated, and we tell you honestly if something in your file is likely to cause a problem before it is submitted rather than after.

   What only you can do

   Hold a valid passport, and give us truthful information. Every declaration on a visa form is yours, not ours, and a false statement is the traveller's liability.

   Attend in person where the mission requires it — most countries now take biometrics, and nobody can give those on your behalf.

   Provide your own financial and employment documents. We will tell you what is needed; we cannot produce them for you.

   Documents usually required

   As a general guide, expect to provide: your passport, recent photographs to the mission's exact specification, the completed application, proof of funds such as recent bank statements, proof of employment or business, your confirmed travel and hotel bookings, and travel insurance where the country requires it.

   The exact list varies by country, by visa type, and sometimes by the applicant. Treat this as what to start gathering, not as the final checklist — we will send you the real one for your journey.

   Your passport

   Many countries require your passport to be valid for at least six months beyond your date of return, and to have enough blank pages for stamps. Check both the day you start planning, not the week you travel.

   Names on your booking must match your passport exactly. A mismatch is one of the most common and most expensive problems we see, and airlines will not always let you fix it cheaply.

   How long it takes

   Processing times are set by each mission and change with season and workload. They can lengthen sharply around holidays and peak travel months.

   Because of that we do not publish turnaround times here. We will give you a realistic timeline for your journey when we quote it, and we will tell you if your dates are too tight to be safe.

7. 07

   Fees

   Visa fees, biometric charges and mission service fees are set by the destination's government and are not included in your tour price unless your itinerary says so explicitly.

   They are payable whether or not the visa is granted. Embassies do not refund a fee for a refused application.

8. 08

   If a visa is refused

   Missions are rarely obliged to give a reason. Where a reason is given and the problem can be fixed, we will help you reapply.

   A refusal does not cancel your booking automatically, and the cancellation charges on your confirmation continue to apply. This is the single strongest reason to hold travel insurance and to leave time between applying and departing.

   Check the official source

   Rules change, sometimes at short notice, and any page that lists them — including this one — can be out of date the week you read it. Before you book flights, check the destination's own embassy or official visa portal.
